Project-based Time Tracking Overview

The basis for time tracking on a project is the project element itself. Users can directly record time on this element. A project may belong to a client or be independent of any client. Additionally, a project can include multiple sub-projects.

Creating a New Project

To create a new project, ensure that you have Administrator privileges in Papervee Projects. Follow the steps below:

  1. Navigate to the "Projects" page in Papervee Projects;

  2. Click on the "Add Project" button;

  3. Enter the project name in the corresponding field;

  4. Click on the coloured circle next to the project and select the color you wish to associate with the project;

  5. (Optional) Associate the project with a client;

  6. Set the project as private or public;

  7. Set the project’s recurrence schedule;

  8. Set the project's billing method;

  9. To finalise, click the "Add Project" button.


Recurrence Settings

If a project is billed on a recurring basis, either weekly or monthly, you can set the following information:

  • Recurrence Period: This can be set to either monthly or weekly.

  • Start Date: The recurrence periods will be generated based on this start date. If the start date is set in the future, the project will be considered "started" only from that date. The start date can also be set to a past date.


Billing Settings

If a project is assigned a financial value, it can be set as billable. For billable projects, the following characteristics must be set:

  • Billing Type: The project can be billed with either an hourly rate or a fixed fee. Depending on the selected billing type, you can set the hourly rate (the value of each hour worked on the project) or the fixed fee (the total value assigned to the project).

    • If the fixed fee is selected, the total value entered is divided by the number of hours worked on the project to calculate the value of the hours worked.

    • If the hourly rate is selected, the total value of the project is calculated by multiplying the number of hours worked by the hourly rate set.

    Note! The hourly rate set for the project acts as the default hourly rate, but specific team members working on the project may have different rates, which will override the default rate set for the project.

  • Currency: This defines the currency in which the financial value of the project is calculated.


Modifying a Project

To modify a project, ensure that you have Administrator privileges in Papervee Projects. Follow the steps below:

  1. Navigate to the "Projects" page in Papervee Projects;

  2. Click the actions button (symbol: "three vertical dots");

  3. Click "Edit";

  4. Edit the desired fields and features;

  5. To finalise, click the "Modify Project" button.

Activating billing and inserting an hourly rate may affect existing time entries on a project. When modifying the billable status and assigning an hourly rate, the following options will appear upon saving:

  • Change entries starting now: In this case, existing entries will remain unaffected.

  • Change all entries: In this case, all existing entries will be modified.

  • Cancel modification: This option will close the modification window without saving changes.


Archiving a Project

When a project is archived, users will no longer be able to log time on this project. It will also no longer appear in the reporting area.

To archive a project, ensure that you have Administrator privileges in Papervee Projects. Follow the steps below:

  1. Navigate to the "Projects" page in Papervee Projects;

  2. Click the actions button (symbol: "three vertical dots");

  3. Click "Archive";

  4. To finalise, confirm your desire to archive the project.


Deleting a Project

When a project is deleted, all data related to this project will be permanently removed. This includes sub-projects, time entries related to the project or its sub-projects, the assigned team, and any project-related data in reports.

To delete a project, ensure that you have Administrator privileges in Papervee Projects. Follow the steps below:

  1. Navigate to the "Projects" page in Papervee Projects;

  2. Click the actions button (symbol: "three vertical dots");

  3. Click "Delete";

  4. To finalise, confirm your desire to delete the project.
